Mobile Aspects, Inc. ("Mobile Aspects," "we," "our," or "us") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit https://www.mobileaspects.com and any subdomains, pages, or online services we provide through it (collectively, the "Site"), and the rights and choices you have under United States federal and state law.
This Policy applies to the Site only. It does NOT apply to personal information, including Protected Health Information ("PHI"), that we process on behalf of our hospital and health-system customers through our products (such as iRISupply, iRIScope, and Bloodbank & Pathology). That processing is governed by the Business Associate Agreement (BAA) and other written agreements between Mobile Aspects and the customer. Please do not submit PHI through the Site.
1. WHO WE ARE
Mobile Aspects, Inc., headquartered in Pittsburgh, Pennsylvania, U.S.A., is the entity responsible for personal information collected through the Site.

2. INFORMATION WE COLLECT
2.1 Information you provide directly
- Contact Us form: name, business email, phone number, organization name, job title, message contents.
- Schedule a Demo / Book a Demo: the same fields above plus product interest, role, hospital or department information.
- Helpdesk - Submit a Ticket: name, email, organization, ticket subject and description, attachments (do not include PHI).
- Careers applications: name, email, phone number, postal address, resume, employment and education history, cover letter, work-authorization information.
- Newsletter or blog subscriptions (if enabled): name and email.
- Livechat (Odoo Livechat): name, email, chat transcript, page viewed.
- Correspondence: information you provide when you email, call, or otherwise communicate with us.
2.2 Information collected automatically
- Device and connection data: IP address, approximate geolocation derived from IP address, internet service provider, device type, operating system, browser type and version, screen resolution, language settings.
- Usage data: pages viewed, referring and exit URLs, links clicked, scroll depth, files downloaded, search terms used on the Site, date/time of visits.
- Server and security logs: HTTP request headers, error logs, security events such as cross-site request forgery (CSRF) token usage on forms.
- Analytics data: events and sessions captured by Google Analytics 4 (measurement ID G-4JF4YPL852), governed by Google Consent Mode v2.
- Hosting telemetry: operational data generated by our website host, Odoo S.A.
2.3 Information from third parties
- Service providers that help us operate the Site, manage forms, deliver email, host content, or run analytics.
- Marketing and CRM platforms within the Odoo suite that we use to manage leads and customer relationships.
- Recruiting sources such as LinkedIn, job boards, recruiters, and professional references (for careers applicants).
- Publicly available sources such as company websites and professional directories.
3. COOKIES AND SIMILAR TECHNOLOGIES
We and our service providers use cookies, pixels, local storage, and similar technologies on the Site:
- Strictly Necessary: session_id, csrf_token (Odoo). Required for the Site and forms to function. Cannot be disabled.
- Functional: tz (timezone), frontend_lang (language), Odoo Livechat session cookies. Remember your preferences and provide enhanced features.
- Analytics: _ga, _ga_<container>, Google Consent Mode signals. Help us understand how visitors use the Site so we can improve it.
- Marketing (only if enabled): Google Ads, LinkedIn Insight, or similar tags. Measure the effectiveness of marketing campaigns.
You can change your browser settings to block or delete cookies, but this may affect Site functionality. To opt out of Google Analytics, you can install Google's Browser Opt-out Add-on at https://tools.google.com/dlpage/gaoptout.
4. HOW WE USE PERSONAL INFORMATION
We use personal information to:
- respond to inquiries and demo requests (Contact Us, Schedule a Demo, livechat);
- provide helpdesk and customer support;
- recruit and evaluate candidates;
- send marketing communications about our products, services, events, and content (consistent with applicable law and your choices);
- operate, secure, and improve the Site (analytics, error monitoring, abuse prevention);
- comply with law and protect our rights, our users, and others; and
- support corporate transactions such as mergers, acquisitions, financings, and due diligence.
We do NOT sell your personal information for money. We do not knowingly engage in "sharing" of personal information for cross-context behavioral advertising as defined under California law; if this changes, we will update this Policy and provide a "Do Not Sell or Share" link.
5. HOW WE DISCLOSE PERSONAL INFORMATION
We may disclose personal information to:
- service providers and processors that perform services on our behalf, including Odoo S.A. (website hosting, CRM, livechat, helpdesk), Google LLC (analytics and Consent Mode), email-delivery providers, cloud-storage providers, and recruiting tools;
- professional advisors such as lawyers, accountants, auditors, and insurers;
- authorities and other parties when we believe in good faith that disclosure is required by law or legal process or to protect rights, property, or safety;
- acquirers and successors in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction; or
- with your consent or at your direction.
6. DATA STORAGE AND PROCESSING LOCATION
Personal information collected through the Site is stored and processed in the United States and in other countries where our service providers operate. We use contractual and technical safeguards to protect personal information regardless of where it is processed.
7. DATA RETENTION
We retain personal information for as long as necessary to fulfill the purposes set out in this Policy, including to provide the services you requested, comply with legal, tax, accounting, and regulatory obligations, resolve disputes, and enforce our agreements. Typical retention periods include:
- Contact and demo inquiries: up to 24 months from last interaction (longer where you become a customer).
- Helpdesk tickets: for the duration of the customer relationship plus a reasonable period thereafter.
- Careers applications: up to 24 months.
- Analytics data: as configured in Google Analytics 4 (typically 14 months).
- Server and security logs: typically up to 12 months.
When personal information is no longer needed, we delete or anonymize it.
8. DATA SECURITY
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include access controls, encryption in transit (TLS), secure development practices, network monitoring, and vendor due diligence. No method of transmission over the internet or electronic storage is 100% secure, however, and we cannot guarantee absolute security.
If we become aware of a security incident affecting your personal information, we will notify you and the relevant authorities as required by applicable law.
9. YOUR PRIVACY RIGHTS
9.1 California (CCPA/CPRA)
If you are a California resident, you have the right to:
- know what personal information we have collected, used, disclosed, and (if applicable) sold or shared about you in the past 12 months;
- delete personal information we have collected from you, subject to certain exceptions;
- correct inaccurate personal information;
- opt out of the sale or sharing of personal information for cross-context behavioral advertising. We do not currently sell or share personal information as those terms are defined under California law;
- limit the use of sensitive personal information to certain permitted purposes; and
- non-discrimination - we will not discriminate against you for exercising your rights.
You may exercise these rights by emailing info@mobileaspects.com. We will verify your request using information on file. You may use an authorized agent if you provide written authorization that we can verify.
9.2 Other U.S. State Laws
Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Indiana, Iowa, Tennessee, Delaware, New Jersey, New Hampshire, Minnesota, Maryland, and other U.S. states with comprehensive privacy laws have similar rights to access, correct, delete, and obtain a copy of their personal information, and to opt out of targeted advertising, sale, and certain profiling. To exercise these rights, contact info@mobileaspects.com. You may also have a right to appeal a denied request; appeals can be sent to the same address.
9.3 How to Exercise Your Rights
Send your request to info@mobileaspects.com with the subject line "Privacy Rights Request" and a description of your request and your relationship with us (for example, website visitor, applicant, or customer contact). We may need to verify your identity before responding. We will respond within the time required by applicable law.
10. MARKETING COMMUNICATIONS
We may send you marketing communications about Mobile Aspects products, services, events, and content if you have opted in or where permitted by applicable law (including the CAN-SPAM Act). You can opt out at any time by clicking the "unsubscribe" link in any marketing email or by emailing info@mobileaspects.com. We will continue to send transactional and service-related messages (such as helpdesk replies) as needed.
11. CHILDREN'S PRIVACY
The Site is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact info@mobileaspects.com so we can delete it.
12. DO NOT TRACK
Some browsers send "Do Not Track" (DNT) signals. There is no industry consensus on how to interpret these signals, and the Site does not currently respond to them. We honor recognized U.S. state-level Universal Opt-Out Mechanisms (such as Global Privacy Control) where required by law.
13. HIPAA NOTICE
For our hospital and health-system customers: Mobile Aspects acts as a Business Associate under HIPAA when handling Protected Health Information through its products. PHI is processed only in accordance with the applicable Business Associate Agreement (BAA) and is NOT governed by this Privacy Policy. The Site is not intended to receive PHI, and any PHI inadvertently submitted through the Site will be deleted as soon as practicable.
14. THIRD-PARTY SITES AND SERVICES
The Site may contain links to third-party websites and services, including social media platforms and our hosting provider (Odoo S.A.). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with personal information.
15. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects the most recent changes. If we make material changes, we will notify you by posting a prominent notice on the Site or, where required, by other means. Your continued use of the Site after changes become effective constitutes acceptance of the updated Policy.
