SupplyTrace

Connect

Scan RFID-tagged supplies and implants right inside Epic Hyperspace to assign them to the patient, while your RFID inventory is updated automatically.

SupplyTrace Connect is a Mobile Aspects app for Epic, downloaded from the App Showroom and installed at your hospital. It opens right inside Hyperspace and helps you document supplies, implants and equipment on the patient with a quick scan.

Seamless in Epic

The app runs in Hyperspace with your signed-in Epic user and the selected patient, so every scanned item is assigned to the right patient and case.

Scan to Assign

Nurses scan the RFID QR barcode on an item to assign it to the patient with no typing and no searching through catalogs.

Inventory in Sync

Assigned items are deducted from the RFID inventory in real time, giving the inventory team accurate data to order and manage stock.

Key Features

Designed for busy clinical teams: capture what was used on the patient in seconds, and let the inventory take care of itself.

Epic Integration

Launches in Hyperspace with your user and the selected patient from Epic - no separate sign-in or patient search.

RFID/Barcode Scanning

Scan the RFID/barcode on a supply or implant to identify it instantly and assign it to the patient.

Real-Time Inventory

Every assigned item is automatically deducted from the RFID inventory, so on-hand counts are always current.

Smart Reordering

Usage captured at the point of care gives the inventory team reliable data to order and manage inventory.

Easy Documentation

Items are organized under Implants, Supplies and Equipment, with catalog #, description, quantity and status.

Detailed Traceability

Lot/serial numbers and expiration dates are captured with each item for full implant and supply traceability.

Multiple Ways to Add

Items come from a scan, the surgeon's preference card or automatically - and you can always add items manually.

Audit Trails

Documentation is recorded with user, patient and time stamps, with a live Last updated indicator on screen.

Document items on the patient in four easy steps

Click to expand the instructions for each step.

The app is downloaded from the App Showroom and installed at your hospital by your Epic/IT team.

  • Open the patient's case in Hyperspace, e.g. in the OpTime activity for a procedure.

  • Select SupplyTrace Connect in the activity navigator on the left.

  • The app opens with your user and the selected patient from Epic - verify the name and MRN in the patient banner and the Case Info panel before scanning.
Assign supplies and implants to the patient as you use them.

  • Click the Scan or enter item barcode / lot / serial box at the top of the page.

  • Scan the RFID QR barcode on the item with your scanner — or type the barcode, lot or serial number by hand.

  • Click Search (or press Enter). The matching item from the RFID inventory is added to the patient and appears in the list below.

  • Each scan is also deducted from the RFID inventory, so counts stay accurate without extra steps.
Everything assigned to the patient is listed in one place, grouped by type.

  • Items are grouped under Implants, Supplies and Equipment, with the count per group, e.g. Supplies (3).

  • Columns: Type, Catalog #, Description, Lot/Serial #, Expiration, Qty, Status, Source and Actions.

  • Status shows Used for items consumed on the patient and In Use for equipment in use.

  • Source shows how the item was added: Scan, Pref Card (surgeon's preference card) or Auto.

  • Check Total items and Last updated at the bottom left and right of the list.

Keep the record accurate before the case is completed.

  • Click the pencil icon in the Actions column to edit a row, e.g. to change the quantity.

  • Use the ⋮ menu on a row for more actions: Return an unused item to the RFID inventory, Waste an item that was opened but not used, or Remove an item scanned by mistake.

  • For an item with a missing or unreadable tag, use the Add Item menu to document it manually.

How to get the most out of SupplyTrace Connect

Scan at the point of use: Scan each item as it is opened or used during the procedure, so documentation and inventory stay accurate.

Check the patient first: Items are assigned to the selected patient in Epic — confirm the patient banner and case before you scan.

Damaged tag? Type in the lot or serial number printed on the label into the scan box and click the Search button.

Scans drive reordering: Every scan deducts from the RFID inventory, helping the inventory team keep shelves stocked and order on time.

Confirm preference card items: Items added from the Pref Card are suggestions — scan what was actually used so only real usage is documented and deducted.
